PR Export SSNVS

Summary

The SSNVS utility is used to verify the employee information entered on the employee records matches the records at the Social Security Administration. In order to use this feature you must request access to the service though Social Security's Business Services.

For general information on the SSNVS process, visit the federal SSNVS web site at http://www.ssa.gov/employer/ssnvspamphlet.htm.

The SSNVS utility will create an export file of the Payroll employee information that is in a format that can be submitted to Social Security Name Verification Service (SSNVS).

Step by Step

  • Open the SSNVS window in PR Utilities SSNVS.
  • The SSNVS window is used to create the file that will be exported to the SSA and create an MS Excel spreadsheet of the file sent back from the SSA.
  • Enter the desired date range - usually the prior year - in theCheck Date FromandCheck Date Tofields.
  • Click the Confirm icon to create a file to export to the SSA. The file will contain the social security number, last name, first name, middle name, date of birth and sex of each employee that has been issued a payroll check in the specified date range.
  • Once the export has finished processing, theExport Settingswindow will open. This window is used to specify the export path for the SSNVS file.
    • Check the Open toggle if you would like to open the exported file after it is saved locally.
    • Enter the export path location and click the Save icon to export the file to the local path.
  • If an employee has been issued only one payroll check in the previous calendar year and the check date of that check was very early in the previous calendar year, the employee may not display on the SSNVS report.
  • The format of the SSNVS file is: social security number, TVP, 214, last name, first name, middle name, date of birth, sex (M or F) and the OEVS000.
