PR Default Timecards Export

Summary

The Default Timecards Export tool is used to generate an export file that includes earning/timecard data for a filtered group of employees. The .csv export file will include the following employee information for every employee included in the export: employee number, name, department, and position. The export file will include the following timecard information for every employee included in the export: pay code, hours, hourly rate, and amount.

Step by Step

 

1     Open the Default Timecards Export window (PR> Reports> Default Timecards).

 

2     Configure the export file.

  • The Configuration field is used to select the export configuration that you would like to use. This field will default to the standard configuration, but you can select any custom export configuration set up for the Default Timecards tool.
    • Export configurations are created an maintained on the Export Configuration Maintenance window (SS> Maintenance> Export Configuration).
  • The Effective Date field is used to specify the effective date of the timecard data included in the export file.
    • The pay code, hours, hourly rate and amount data that is included in the export file will be based on all financial revisions effective on or before the selected date.
  • The Timecard Cycles field is used to select the timecard cycles you would like to include on the export.
    • Press CTRL+A to highlight all of the timecard cycles in the field. Press SPACE to check or uncheck all of the selected toggles.
    • Any timecards that are not included in at least one selected cycle will be skipped.
    • Timecard cycles are attached to the default timecard line items on employee records and allow you to group the default timecards that will be used to generate paychecks.
  • The Pay Schedules field is used to select the pay schedules you would like to include in the export.
    • Press CTRL+A to highlight all of the pay schedules in the field. Press SPACE to check or uncheck all of the selected toggles.
    • Pay schedules are created and maintained on the Pay Schedule Maintenance window (PR> Maintenance> Pay Schedule).
  • The Employee Status field is used to select the employment statuses that will display in the export.
    • Press CTRL+A to highlight all of the statuses in the field. Press SPACE to check or uncheck all of the selected toggles.
    • Employee statuses are set on the Employee Maintenance window (PR> Maintenance> Employee> General tab> Status field).

 

3     Export the file.

  • Click the Confirm icon when complete to generate the export file immediately or enter a date and time in the field next to the Confirm icon to schedule the export file to generate at a later time.
    • You can view the progress of the export on the Job Viewer window (SS> Utilities> Show Scheduled Jobs).
  • Once the export has finished processing, the Export Settings window will open. This window is used to specify the export path for the file.
    • Check the Open toggle if you would like to open the exported file after it is saved locally.
    • Enter the export path location and click the Save icon to export the file to the local path.
