TC Tax Certificate Report

Summary

The Tax Certificate report is used to produce a certificate of taxes for a parcel on demand (TC> Reports> Tax Certificate). The certificate lists all tax amounts billed for at least the preceding three years, any outstanding balances beyond that range, and - when requested - outstanding utility (water and sewer) balances. Tax collectors typically run it during a property transfer to certify what is owed on a parcel.

A certificate number is generated automatically when the certificate prints. It is not entered on the parameter screen.

Step by Step

 

1     Open the Tax Certificate window (TC> Reports> Tax Certificate).

 

2     Complete the Selection tab.

  • Enter the Parcel ID. This field is required. Use the field search icon   to look up the parcel to certify.
  • Enter an Interest Date. This field is required and defaults to today. Interest on outstanding balances is calculated through this date.
  • Enter a Date Requested. This field is required and defaults to today. It is the date the certificate was requested.
  • Enter a Print Info From Year. This field is required. It is the tax year that owner and parcel information is pulled from.
  • Select a Print Info From Sequence. This field is required. It is a single-select drop-down that sets the sequence owner and parcel information is pulled from.
  • Enter a Year From and Year To to set the range of tax years to include. These fields accept numeric values.
  • Enter a Per Diem Interest Rate to calculate daily interest on outstanding balances. This field accepts numeric values.
  • Select Exclude Sequences to omit one or more sequences from the certificate. This field is a multi-select drop-down.
  • Check Include utility billing to add outstanding utility balances to the certificate. When you check it, the two fields below will be enabled.
    • Use the Account No field to select the utility account or accounts to include.
    • Use the Service Name field to select the utility service or services to include, such as water and sewer.

 

3     Complete the Options tab.

  • The Options tab holds the heading, requestor, and signature text that prints on the certificate.
    • Enter Top Heading Line 1 and Top Heading Line 2 to print custom heading text at the top of the certificate. Each field allows up to 50 characters.
    • Enter a Collector name to print on the certificate. Up to 50 characters.
    • Enter Requestor Info 1 through Requestor Info 4 to print requestor details on the certificate. Each field allows up to 50 characters.
    • Enter Comments to print comment text above the signature line. Up to 2000 characters.

 

4     Generate the certificate.

  • Once the required report settings have been specified, click the Print button to print your report.
  • Click the options arrow on the right side of the Print button to see other print options.
    • Select PDF to print the report in the default Springbrook PDF format.
    • Select Excel to export the report data to an Excel spreadsheet as unformatted data.
    • Select Excel (Formatted) to export the report data to an Excel spreadsheet that includes much of the Springbrook formatting found on the printed version of the report.
    • Once a print option is selected, that option will automatically be selected the next time you access the report. For example, if you select Excel from the drop-down menu, the next time you access the report the Excel button   will be displayed by default.
  • Click the Schedule icon next to the Print button in order to schedule the report to generate at a later date and time.
    • Enter a Date and Time to generate the report and click SUBMIT.
  • Users can also regenerate a report with the same configuration as a prior report via the report history section. This can help improve efficiency when an identical report is frequently generated.
    • Once a report has been generated, the date and time it was generated will display in the report history accessed via the Expand Arrow button   on the right side of the window.
    • Expand the report history and click on a previous report record to automatically populate the report criteria with the criteria specified on the previously generated report. Hover over the Info icon   to view the parameters on the previous report.
    • This section will display the last ten times the report was generated.

 

5     Review the certificate.

  • The certificate includes paid and unpaid bills within the year range.
  • Purposes are grouped within each tax year and sorted by summary code, then by purpose code.
  • The comment text and the signature line print together at the bottom of the page. If there is not enough room for both, they move to the next page and do not split across two pages.
