The CivicPay Online Settings pages are used to set up how your citizens will interact with your CPO site.
Service Requests
- The Service Requests page is used to set up how your citizens will submit service requests through the Customer Payment Portal.
- The Email Addresses field is used to enter the email addresses that will be notified each time a citizen submits a service request. Use a comma to separate email addresses if more than one is entered.
- When a citizen saves a new service request, each email address listed will receive an email that includes:
- Customer Name - From the UB Account
- Customer Account Number - Utility Billing Account Number
- UB Service Address
- Member Email Address
- Service Request Type Code - selected by the citizen
- Service Request Number - generated from Springbrook
- Comments - entered by the citizen
- When a citizen saves a new service request, each email address listed will receive an email that includes:
- The Service Request Codes data grid will display all the service request codes set up in Springbrook (UB> Maintenance> Service Request Code).
- If you have created a new Service Request Code in Springbrook but it is not displayed in the data grid, click the Springbrook Sync button to update the displayed codes.
- The Override Description field is used to specify a description that will override the standard Springbrook code description to the left.
- This override description will display in the Type drop-down field when a citizen clicks the Create Service Request button on the Service Requests page of the Customer Payment Portal. This functionality is designed to allow organizations that use less user-friendly code naming conventions to offer a more descriptive code description without being forced to create a completely new service request code. Be as clear as possible in order to ensure citizens understand what type of service request they are submitting.
- If no override description is specified, the standard Springbrook service request code description displayed in the Description column will be displayed in the Type drop-down field when a citizen clicks the Create Service Request button on the Service Requests page of the Customer Payment Portal.
- The Override Comments Helper Text field is used to specify helper text that will override the standard helper text that displays below the Comments section of the New Service Request window on the Customer Payment Portal.
- The override helper text will only display when the current service request code is selected by the citizen. The helper text will be displayed in larger, bolder font in order to draw more attention. Be as clear as possible in order to ensure citizens understand what type information they should provide in the Comments section.
- If no override helper text is specified, the standard helper message "Please provide contact and any additional information regarding this request." message will be displayed.
- Check the Enabled toggle next to each service request code that should be available to your citizens when they submit a service request through the Customer Payment Portal.
- At least one service request code must be enabled for the Service Requests menu item to display in the Customer Payment Portal main menu.
- When a citizen creates a new service request in the Customer Payment Portal, that service request will be assigned a status of "New" and will appear in the data grid on the Service Requests Input page (UB> Service Requests> Input).
- Click the Save button to save the Service Requests settings.
