HR Type Code Maintenance

Summary

Type Codes are used to define and record HR-specific employee characteristics that are attached to employee records. These type codes can be added to custom tabs on the HR Employee Maintenance window.

Once a type code is set up it can be attached to a position as a qualification using the Position Maintenance window. The qualifications can then be used to screen applicants that apply for that position. For example, a BA type code could be attached to a position that requires a Bachelor of Arts degree.

Step by Step

 

1     View the type codes.

  • Open the Type Code Selection window (HR> Maintenance> Type Code).
  • The Type Code Selection window will display all the type codes created in the application.
  • Highlight a type and press DELETE or click the Delete icon if you would like to delete a type.
    • You cannot delete a type that is attached to an employee record.
  • Click the Modify icon to edit an existing type code.
  • Click the Create icon to add a new type code. This will open the Type Code Maintenance window.

 

2     Add a new type code.

  • The Type Code Maintenance window will display the Type, Code, Short Description and Long Description of the new type code.
  • Click the Type field label to select a type from a list.
    • Types are used to create custom tabs on applicant records. These tabs are then populated with Type Codes that are used to record applicant characteristics such as education, skills, and experience.
    • More than one type code can be associated with the same type. When user attempts to attach a type code to a tab on the Employee Maintenance window, they can select from the available type codes associated with that type tab.
    • Types are created and maintained in the Type Maintenance window (HR> Maintenance> Type).
    • All the Character fields associated with the selected Type will populate in the Character Fields section below.
  • Enter a unique Code for the type code. The code can be up to 15 characters long.
    • For example, codes that could be used with the Education type might include AA for Associate of Arts or BA for Bachelor of Arts.
  • Enter descriptions in the Short and Long Description fields. These are optional fields.
  • Click the Save icon when complete. Once a type code has been saved, the Type and Code fields cannot be edited.

 

3     Add Field Options to the Character field.

  • The Character Field Options section is used to set up the available field options that will display if the Type Code is used in an application question.
