Summary
Batch processes in Springbrook Cirrus have a set of common features:
- The open batches in the batch process will be displayed on the batch process home page.
- The batches will be ordered by creation date, with the oldest in the top-left position (card view) or top of the list (list view).
- Clicking an open batch will open that batch and allow you to continue processing.
- For most processes, the batch month, batch year and batch number are only used as reference numbers.
- The batch steps are meant to be processed in order.
- Some processes have optional steps that do not have to be completed in order to commit the batch.
Batch Processing
1 Batch Overview
- The batch process home page will display all the open batches in the process.
- Multi-batch processes can have multiple batches being processed at one time. The open batches in a process will not affect each other.
- These multi-batch process home pages will often display multiple open batch tiles.
- Users can also click the Create New Batch button from this page in order to start processing a new batch.
- Single batch processes can have only one open batch in the process at a time.
- If there is an open batch in a single batch process, that open batch tile will be displayed on the batch process home page.
- The Create New Batch button will be disabled when there is an open batch in a single batch process.
- The batch process home page can be set up to display open batches as tiles or as lines in a data grid.
- Click the Tiles button to display the open batches as large tiles on the home page.
- The individual batch tiles will display the batch name or number, the user who created the batch, the next step in the batch process, and the last generated output for the batch.
- Click the DETAILS link to open and continue processing the batch or to access any previously-generated batch outputs, such as reports or exports.
- Click the Delete icon to delete the open batch.
- Click the Details button to display the open batches as lines in a data grid.
- Click the Carrot icon on the left to expand an open batch to display any previously-generated batch outputs.
- Click the Ellipsis icon on the right to either open or delete the selected open batch.
- Click the Tiles button to display the open batches as large tiles on the home page.
- Open an existing batch or create a new batch to begin the batch process.
2 Create a new batch.
- Open the Create Batch screen by clicking the Create New Batch button at the top of the page.
- If your organization utilizes enhanced batch security (SS> Utilities> Setup> System tab> Use enhanced batch security toggle), you can enter a common, easily recognizable name for the batch and specify which user group will have access to the batch. Both of these fields are optional.
- Enter a common name for the batch in the Name field. This name will appear next to the batch number on the My Batches window. This will allow you to recognize particular batches without relying on batch numbers.
- Use the Group Security drop-down menu if you would like to limit access to this batch to a particular user group. User groups are created and maintained on the User Group Maintenance window (SS> Security> User Group).
- The Name and Group Security fields will automatically populate with the details specified the last time the current user created a new batch for the same process.
- Enter a Batch Number or check the Autogenerate batch number toggle to create a batch using the next available batch number.
- The batch number is used to identify a specific batch within a batch month and batch year. They are limited to five digits and must be unique with the batch month of the batch year.
- If the Autogenerate batch number is checked, it will remain checked for all new batch windows across the application until it is unchecked.
- Enter a Batch Month and Batch Year. These fields will default to the current calendar period and calendar year and are generally for reference purposes only. The fiscal period and fiscal year of the journal entry created by a process is usually set up during the GL Distribution step.
- An exception to this is the Computer Checks process in the Payroll module (PR> Computer Checks). The Batch Month and Batch Year will determine the calendar year of the payroll checks generated in the batch.
- Click CREATE when complete to create the new batch.
- The processing icon will display while the batch is being created. Once created, the Batch Overview screen will open in the new batch.
3 Processing a batch.
- Once a batch has been opened or created, the Batch Overview page will be displayed. This page is divided into the batch navigation menu on the left, the batch processing area in the middle, and the batch output area on the right.
- The batch navigation menu us used to navigate the steps in the batch process. Click on a batch process to open that step in the batch processing area in the center of the page.
- A blue notification dot will be displayed on the batch step when the step is processing.
- A green notification dot will be displayed on the batch step when the step is complete.
- Use the up and down arrows at the top and bottom of the batch navigation menu if the batch includes too many steps to display on the current page.
- The batch processing area is used to enter data, select options, and process the batch.
- When you first open a batch process, this area will display any batch process steps currently processing in the Processing column, the next available batch process step at the top of the Next Steps column, and the completed batch steps in the Last Completed column.
- The batch output pane on right displays any completed batch reports or exports.
- The current batch is displayed in the drop-down menu at the top of the Batch Overview page. From this drop-down menu, you can create a new batch or jump to another open batch in the process.
