Hardware & Software Requirements
Hardware and software requirements for operating the cloud hosted version of the Springbrook application. These requirements differ from many of the self-hosted Springbrook releases and should be reviewed by IT and necessary changes to Springbrook users client machines made ahead of transition.
Product Enhancement Documentation
When transitioning from self hosted to cloud hosted you will be upgraded to the current cloud hosted Springbrook release. To see the document(s) pertaining to feature enhancements associated with the upgrade please see theSpringbrook Enhancementsarticle in Online Help.
Access
- The Springbrook Cloud application is launched from our application portal website https://portal.springbrooksoftware.com/ instead of a local shortcut.
- Some browsers may require the installation of a ClickOnce extension to launch the Springbrook Enterprise application. Please see ourLogin Help Guidein Online Help for more information.
- The Springbrook database and archive are transferred to cloud servers in transition so local data access (such as ODBC) is no longer available.
- Springbrook Cloud comes with a Tableau Analytics and Reporting tool that contains your live data and accessible from the login portal.
- Springbrook Cloud comes with REST APIs that allows for direct read-only access to the Springbrook Enterprise Cloud production
- database. The new APIs know as ‘Open API’ are implemented using an open standard data sharing protocol known as OData. More information can be found here and a technical engagement can be scheduled to configure the service.
- For agencies who want local data access a service 'Cloud Database Backup Subscription' can be purchased. This service transfers regular backups of the cloud hosted database to an SFTP site so that they are accessible to download to a local server.
- Your Springbrook test database will be populated initiallywith a copy of your live database following your upgrade. It can be 'refreshed' anytime by submittinga request to Springbrook support to 'Copy live to Test'. Note that files (reports, attachments... are not copied).
Authentication
- Springbrook user login to the cloud is not connected to your local domain by default. Springbrook Cloud uses an independent Single-Sign-On and Multi-Factor Authentication process. You will want to validate user email addresses and prepare for users to receive a new set of login credentials following the transition. Optionally you can integrate Springbrook Cloud with your own identity provider for a fee. Speak with your Springbrook Account or Project Manager about our “Enterprise Connection’ option if interested.
Maintenance
Springbrook Cloud service packs & hot fixes
Clients share one standard code base on the Springbrook cloud which is maintained by Springbrook.It is updated following a Service Pack release during a maintenance window. Service Packs are currently released on Thursday's between 8 PM and 10 PM Pacific. Hot Fixes are reviewed and if applicable and necessary for clients an extraordinary circumstance maintenance event can be scheduled.

Springbrook Cloud major release / upgrade
When a major release is scheduled, you will receive notification from and see the scheduled event on the status page. Springbrook staff performs all major release activities,and agency staff involvement in the process is limited to preparation for changes being delivered with the release.
Maintenance Window
Maintenance windows are scheduled events in which Springbrookperforms maintenance and updates on the Springbrook Cloud hosted environment. During this time the Springbrook application or web services (including the CivicPay Online payment service) may not be accessible to Springbrook Cloud clients. When this occurs clients will be notified ahead of time. Springbrook makes every attempt to ensure that maintenance occurs well after business hours to avoid impacting business operations, but on occasion critical maintenance may occur during or directly following business hours. Service Incident
In the event of an unexpected system outage, Springbrook will log an incident tohttps://status.springbrooksoftware.com/. Clients subscribed to the status page will receive notification and the incident will also display on the application portal.
